The Director, Strategic Projects & Operations Support serves as a key business operations leader responsible for driving cross-functional execution, strategic project management, organizational alignment, partner enablement, executive reporting, and operational governance across Vave Health. This role partners closely with Executive Leadership, Board Members, distributors, strategic partners, and department leaders to ensure critical business initiatives are executed on time, within scope, and aligned with company objectives.
The successfulcandidate will bring structure, accountability, visibility, and operationalexcellence to a rapidly growing medical device company while helping buildscalable processes that support Vave Health’s continued global expansion.
This is a hands-on, high-impact role for an operator who can bring discipline to a fast-moving organization. The Director will act as a central coordination point for special projects, implementation planning, new hire onboarding, business partner onboarding, distributor governance, executive meeting preparation, Board-level reporting, and cross-functional operating reviews.
The role is notlimited to a single department. It is designed to support Commercial,Marketing, Product, Clinical, Quality, Regulatory, Customer Operations,Manufacturing, Engineering, Customer Service, Finance, HR, Legal, and ExecutiveLeadership. The right candidate will be able to move between strategic work andtactical execution without losing speed, detail, or ownership.
· Lead and coordinate company-wide strategicprojects across all departments.
· Build a centralized project management operatingrhythm that brings visibility, ownership, and accountability to majorinitiatives.
· Identify project owners and ensure everymeaningful initiative has a clear lead, written plan, timeline, deliverables,risks, dependencies, and next steps.
· Maintain a company-wide project tracker coveringstrategic, commercial, operational, product, regulatory, quality, partner, andcustomer-facing initiatives.
· Drive project cadence through weekly follow-up,status reviews, action tracking, escalation management, and deadlineaccountability.
· Help prevent projects from stalling byidentifying blockers, unresolved decisions, resource gaps, and cross-functionaldependencies early.
· Collate all departmental project plans into asingle weekly Executive Leadership and Board-ready report.
· Prepare executive dashboards, KPI reporting,strategic business reviews, operating updates, and Board-level presentations.
· Support investor reporting, Board meetingpreparation, cross-functional operating reviews, and strategic planninginitiatives.
· Translate complex project inputs into clear,concise, executive-level summaries with defined actions, owners, timing, andrisks.
· Ensure follow-up items from leadership meetingsare captured, assigned, tracked, and completed.
· Create repeatable reporting templates thatimprove transparency, reduce meeting friction, and support faster executivedecision-making.
· Support onboarding, training, governance, andenablement for distributors, business partners, consultants, strategicaccounts, and external stakeholders.
· Create partner implementation playbooks,onboarding checklists, governance templates, meeting structures, and actionlogs.
· Coordinate internal support for new businesspartners across Commercial, Clinical, Marketing, Product, Quality, Regulatory,Customer Operations, Finance, and Legal.
· Help ensure business partners receive consistenttraining, clear communication, approved materials, defined expectations, andstructured support.
· Support partner governance activities, includingmeeting cadence, performance reporting, documentation, issue escalation, andaction tracking.
· Coordinate and manage company-wide new hireonboarding and training programs.
· Work with department leaders to ensure new hireshave a structured onboarding plan, training schedule, required tools, roleexpectations, and success milestones.
· Help standardize onboarding content, checklists,training materials, internal introductions, and departmental readiness plans.
· Support functional leaders in building trainingmaterials for sales, clinical, customer operations, marketing, distributorsupport, product updates, and operational processes.
· Track onboarding progress and escalate gaps thatmay limit new hire productivity or readiness.
· Create and maintain templates for projectcharters, implementation plans, action logs, governance trackers, weeklyreports, risk registers, dashboards, and meeting agendas.
· Support trade show planning, customerimplementation activities, product launches, distributor onboarding, traininginitiatives, and strategic growth programs.
· Help build scalable operating processes thatsupport Vave’s domestic and international growth.
· Bring practical structure to ambiguous projectsand convert scattered inputs into clear plans that can be executed.
· Partner with internal stakeholders to improvecommunication flow, reporting discipline, operating cadence, and executionquality.
· Bachelor’s degree required in BusinessAdministration, Healthcare Administration, Engineering, Project Management,Operations, Life Sciences, or a related field.
· 7+ years of proven experience in projectmanagement, implementation management, business operations, program management,strategic operations, commercial operations, PMO, Chief of Staff, or a similarcross-functional execution role.
· Experience in the medical device, healthcaretechnology, diagnostics, imaging, life sciences, or regulated healthcareindustry required.
· Demonstrated ability to manage multiplecross-functional projects simultaneously in a fast-paced environment.
· Strong experience preparing executivedashboards, KPI reporting, strategic business reviews, operating reviews, andBoard-ready materials.
· Excellent Microsoft Office skills, includingadvanced proficiency in PowerPoint, Excel, Word, Outlook, and executivereporting.
· Demonstrated expertise using Microsoft Planner,Microsoft Teams, and related collaboration tools to manage projects andcross-functional initiatives.
· Exceptional written and verbal communicationskills with the ability to communicate clearly with executives, Board Members,employees, customers, distributors, and external partners.
· Strong organizational skills, attention todetail, follow-through, business judgment, and ability to drive accountabilitywithout direct authority.
· Must be a legal resident of the United States.
· Must be legally authorized for employment in theUnited States and must not require employer-sponsored work authorization now orin the future.
· Ideally located in the San Francisco Bay Area,Los Angeles area, or Greater Seattle area.
· MBA, Master’s degree, PMP, Lean Six Sigma,Agile, or related professional certification preferred.
· Experience supporting Executive Leadershipteams, Board Members, investor reporting, strategic planning, and companyoperating reviews.
· Experience with medical device quality systems,regulatory affairs, distributor management, customer implementation, partneronboarding, commercial operations, or product launch support.
· Experience in a high-growth startup,venture-backed healthcare company, or scaling MedTech organization preferred.
· Familiarity with HubSpot, Salesforce, Asana,Monday.com, Smartsheet, Microsoft Project, Notion, or similar platformspreferred.
· Experience preparing customer, distributor, orbusiness partner training materials preferred.
· Highly organized, structured, andexecution-oriented.
· Able to create clarity where ambiguity exists.
